How does the SDS update process work?

SDS updating can be done based on an existing, but outdated, safety data sheet, or even on a newer version (possibly in another language) issued by the manufacturer/supplier.

In every case, we make the necessary modifications taking into account the latest data provided to us and the currently applicable regulations.

If the latest supplier SDS is in a foreign language, we will professionally translate the new information it contains and incorporate it into the SDS being updated – indeed, we also correct any previous translation inaccuracies to ensure that the new document is flawless in terms of language.

 

During the SDS update service, we perform the following checks and modifications:

  • Format and content update: We align the data sheet in both format and content with the requirements of Commission Regulation (EU) 2020/878, as well as with the applicable national requirements of the destination country.

We review every section to ensure it complies with the latest standards and templates.

  • Hazard classification (CLP) check: We review the mixture’s hazard classification according to Regulation (EC) No 1272/2008 (CLP).

If a classification already exists, we verify its correctness and correct it if necessary (e.g., in the event of new classification criteria or new classification information).

  • Component data update: We verify each component’s IUPAC name and hazard classification.

If any component has changed or deviates from the regulatory lists, we update it in the SDS.

  • Exposure limit values update: We review the specified occupational exposure limit values (e.g., time-weighted average and short-term values) and compare them with the currently applicable national limits.

If necessary, we update these in the appropriate section of the data sheet to ensure that the workplace safety information is current.

  • Ensuring regulatory compliance: We incorporate all relevant regulation changes into the document.

This includes the introduction of new hazard classes, warnings regarding banned substances, or any content elements required by a new or amended regulation. Thus, the updated data sheet fully complies with the applicable requirements.

  • Clarity and technical accuracy: We review the text of the safety data sheet. Any general, contradictory, or poorly formulated statements are replaced as needed with technically correct and clear phrasing.

This ensures that the SDS not only meets legal requirements but is also easily understandable to non-specialist users while maintaining its professional integrity.

  • Transport information check: We update and refine the product’s transport classification (ADR/RID class, UN number, packaging group, etc.) according to the 2023 dangerous goods transport regulations.

This ensures that the transport information in Section 9 is also up to date.

  • Updating legal references: In Section 15 of the SDS and elsewhere, we indicate the legislation in force as of the date of updating (e.g., the numbers and dates of new regulations).

Thus, all references in the document will be up to date, which is important for demonstrating compliance.

In which language can I get the updated SDS?

How often should safety data sheets be reviewed or updated?

There is no prescribed frequency for reviewing safety data sheets – SDSs do not have an expiration date. However, it is mandatory to update the data sheet whenever new relevant information about the product emerges or the regulatory environment changes. For example, if the product composition changes, a new hazard information becomes known, or the applicable regulations change, then the SDS must be updated without delay.

What should be done after receiving the updated SDS? To whom should it be sent?

The applicable regulations (e.g., the REACH Regulation) stipulate that if a safety data sheet is updated, the new version must be sent to every purchaser or downstream user who received the substance or mixture in the previous 12 months. This must be done automatically and free of charge, in writing (either on paper or electronically is acceptable). Therefore, if you have your SDS updated, do not forget to send the new version to all partners who received the product in the past year. This ensures that everyone using or distributing the product is aware of the most up-to-date safety information.

The importance of keeping the safety data sheet up to date

Regular updating of the SDS is extremely important, because changes in the properties of substances or mixtures or in the conditions of use may require updating or altering the data contained in the safety data sheet. Despite this, in practice it is changes in the laws and regulations governing the content and format requirements of data sheets that most often necessitate an update or revision.

It is important to note that, when an SDS is updated, the product labeling may also need to be changed, and existing regulatory notifications (e.g., the PCN) may also require updates.
